The Documents page is two things in one: a place to keep all your band's files, and a generator that builds professional paperwork straight from your show data — no more rebuilding a rider from scratch for every gig.

Uploading and organising files

Drag any file in, or use the upload button. Sort files into folders — one per tour, per venue, however you work — and drag files between them to keep things tidy. You can also:

  • Favourite a file so it's one click away.
  • Link a file to a show, release, contact, crew member, expense, or gear item, so it also shows up on that record.
  • Search by name, notes, or content — scanned contracts and receipts get read on upload, so a word buried inside a PDF still surfaces.

A few file types (executables and installers) are blocked, and uploads count against your plan's storage cap. See Plan limits & storage for the numbers.

Generating documents

Instead of building paperwork by hand, ArtistHQ generates it from a show you've already set up. Available types:

  • Technical rider
  • Hospitality rider
  • Day sheet — pulls the day-of schedule from the show's Itinerary tab
  • Setlist
  • Guest list
  • Settlement sheet — pulls the numbers you locked in when you settled the show
  • Invoice
  • EPK (electronic press kit)

Because they draw on your live show and money data, they stay in sync with what's actually planned. A tech rider you generate the week you advance the show reflects the venue, contacts, and specs you've entered — not a stale copy in your email.

Sharing with a secure link

Any document — uploaded or generated — can be shared with a secure link instead of an email attachment.

  • Add an optional password so only the right people can open it.
  • Set an optional expiry date so the link stops working after a chosen time.
  • Revoke the link at any point to cut off access immediately.

You'll also see view and download counts on the link, so you know a promoter actually opened the rider you sent.

That makes it easy to send a rider to a promoter or a settlement sheet to your agent without losing control of where it ends up.
