Inviting your band & roles

Getting the right people into ArtistHQ takes two steps that are easy to mix up: giving someone access to the workspace, and marking who counts as a band member for the money. They live in different places and do different things.
Inviting people
Head to Settings → Team, type an email under Invite by email, pick a role, and hit Invite. Owners, admins, and managers can send invites; everyone else just sees the roster.
How many people you can add depends on your plan. Free includes 4 seats total — that's active members plus any outstanding invitations, so a pending invite counts against the number. Plus and Pro lift the cap so you can invite the whole camp. If you hit the wall on Free, you'll get a clear "upgrade to invite more" message rather than a silent failure. The six roles
Roles control who can see and change what. There are six — expand What can each role do? on the Team tab to see this legend in-app:
- Owner — full control, including billing, deleting the workspace, and transferring ownership. One owner at a time.
- Admin — everything the owner can do except delete or transfer. Manages the team, billing, settings, and all data.
- Manager — runs the work: shows, releases, money, and settlements. No team or billing access.
- Member — a band member: edits shows and releases, sees the money, and is included in payout splits.
- Accountant — read-only finance: sees money and settlements and reconciles payments, but doesn't edit the rest.
- Crew — scoped to their assigned shows only. Limited, show-day access.
Only owners and admins can change someone's role or remove them. Pick the role that matches what each person actually needs to touch.
Transferring ownership & leaving
Need to hand over the keys? An owner can open a member's row and Transfer ownership — that person becomes owner (full control, including billing) and you drop to admin. Only the new owner can reverse it.
Anyone who isn't the owner can Leave workspace from the bottom of the Team tab; you lose access until you're re-invited. The owner can't leave outright — they transfer ownership or delete the workspace first.
Team members vs. band members
This is the part worth slowing down on. Inviting someone to the workspace does not by itself decide who gets paid.
Team access is about who can log in and what they can touch. Who counts as a band member — and how each settlement splits across them — lives in Settings → Band. So add a new player in Settings → Team if they need to log in, and add them in Settings → Band so they're in the split. Full walkthrough in Split income and pay your band.
